CLIENT OVERVIEW
The client is a rapidly growing Indian IT services provider with over 31,870 employees across 60+ offices in 28 countries, aimed to automate its employee expense management processes. With Oracle Cloud implemented for ERP, the client sought to seamlessly integrate employee expenses (travel and accommodation) into their Accounts Payable (AP) system.
Challenges:
- Inefficiency in uploading E- invoices to the Italian government’s SFTP server after generating in Oracle Cloud.
- Need to meet the Italian authorities’ requirement for invoices in a specific XML format, adding complexity to the integration.
- Procurement operations account for 70% of their spend, making automated invoicing crucial for operational efficiency.
- Lack of automated solution for uploading invoices to the Italian government’s portal, creating potential compliance risks and delays.
Solution:
- Implemented Oracle Integration Cloud (OIC) to automate the E-invoicing process and integrated Oracle Cloud with the Italian government’s SFTP portal.
- Automated data transfer to fetch invoice details from Oracle Cloud and upload them in the XML format required by the government portal.
- Implemented a scheduled integration system with visibility for both successful and failed transactions, along with automated user notifications for each.
- Enabled flexibility in integration schedules to ensure timely and accurate submissions.
Results:
- Streamlined Invoicing Process: Automation of E-invoicing eliminated manual uploads, reducing errors and ensuring a smoother workflow.
- Regulatory Compliance: Delivered invoices in the required XML format, ensuring full compliance with Italian government regulations.
